• Contact details (such as your name, email address, and phone number) submitted through website contact forms.
• Information you provide in coaching intake questionnaires, including background information, goals, and areas of focus for coaching.
• Booking details, such as preferred session times, appointment history, and related scheduling information.
• Payment-related information processed through our payment providers (for example, billing name, contact details, and transaction details). Full card numbers and security codes are not displayed in our standard Wix payment dashboard.
We aim to collect only the information that is reasonably necessary to provide our coaching services and manage our relationship with you.

2. How We Use Your Information

We use the personal information we collect for the following purposes:
• To provide private mindset, identity, and personal transformation coaching services tailored to your needs.
• To schedule, confirm, and manage coaching appointments, including sending reminders or updates.
• To process payments for coaching services and maintain appropriate records for administrative and accounting purposes.
• To communicate with you about your coaching, respond to your questions, and share relevant information or resources.
• To operate, maintain, and improve our website and online services.
We do not sell your personal information. Any additional uses of your information will be consistent with the purposes described above or will be explained to you at the time of collection. We may also use personal information to monitor client progress, personalize coaching services, maintain business and accounting records, respond to legal obligations, and improve our services using client feedback. With appropriate consent or another lawful basis, we may send occasional marketing emails about Becoming Extraordinary programs, events, retreats, special offers, and business updates. Recipients can unsubscribe from promotional emails at any time using the unsubscribe link provided in those messages or by contacting us directly. Unsubscribing from marketing emails will not prevent essential communications relating to active coaching services.

3. Client Consent & Your Choices

By submitting your information through our website forms, booking system, or payment process, you are providing your consent for Becoming Extraordinary to collect, use, and disclose your personal information for the purposes described in this Privacy Policy, or as otherwise explained to you at the time of collection. We explain how personal information will be collected and used through our Privacy Policy, booking process, intake questionnaires, and coaching agreements, as applicable. We seek consent appropriate to the nature and sensitivity of the information and the purpose for which it is collected.
Coaching session recordings and AI-assisted transcription or meeting summaries are optional and require separate informed consent before use. Clients may decline these features or change their preferences for future sessions without affecting their ability to receive coaching.
Marketing emails are optional. Where we rely on express consent, clients can choose to subscribe using a separate, unchecked opt-in checkbox. They may unsubscribe from promotional communications at any time.
Clients may contact us to ask questions about their personal information or withdraw consent for optional activities. Withdrawal of consent may be subject to legal, contractual, or reasonable notice requirements, and may not affect processing that has already lawfully occurred.
You may withdraw or modify your consent in certain circumstances, subject to legal or contractual restrictions and reasonable notice. For example, you may:
• Ask us to stop sending you non-essential communications.
• Request that we update or correct your personal information.
We will explain any implications of withdrawing consent where it may affect our ability to continue providing coaching services.

4. Third-Party Service Providers

We use trusted third-party service providers to help us operate our website, deliver coaching services, and process payments. These providers may have access to personal information as needed to perform their services on our behalf, but they are not permitted to use it for their own unrelated purposes.
Our key service providers include:
• Wix: We use Wix to host our website, manage online forms, bookings, and certain aspects of payment processing.
• Zoom: We use Zoom to conduct online coaching sessions.
• Payment processors: We use Wix Payments and PayPal to process payments for our coaching services. Customers may also pay using Apple Pay or Google Pay through Wix Payments.
These service providers may store or process information in locations outside of Alberta or Canada, depending on their infrastructure and data practices. Personal information may be stored, accessed, or processed in Canada, the United States, or other countries where our third-party service providers and their authorized subprocessors operate. These providers include Wix, Wix Payments, PayPal, and Zoom. When information is processed outside Canada, it may be subject to the laws of the country where it is processed, including lawful requests for access by government authorities. We do not currently guarantee that personal information will be stored or processed exclusively in Canada.
We encourage you to review the privacy policies of these providers for more information about how they handle personal information.

5. Information Storage, Retention & Security

We take reasonable steps to protect the personal information we hold from loss, misuse, and unauthorized access, disclosure, or alteration. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. Becoming Extraordinary uses reasonable administrative and technical safeguards to protect personal information. The business owner currently has sole access to private client records. The Wix account is protected by a strong, unique password, a passkey, and SMS two-step verification. If administrative assistance is introduced in the future, access to client information will be limited to what is necessary, with appropriate confidentiality obligations.
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, to meet legal or regulatory requirements, and to resolve disputes. Coaching session recordings and AI-generated transcripts and summaries are normally retained for 30 days after each individual coaching session, giving clients an opportunity to download their materials. Coaching questionnaires, assessments, goals, and other client records are normally retained for 12 months after the coaching relationship ends. Financial and transaction records are retained according to applicable Canadian legal and tax requirements. Information may be retained longer when required by law or reasonably necessary to address legal matters.
Coaching services offered by Becoming Extraordinary are not medical, psychological, or therapeutic treatment, and information shared in coaching sessions is not protected by therapist-client privilege or medical confidentiality. If you require clinical or medical support, please consult a qualified healthcare professional.

6. Cookies & Website Analytics

Our website may use cookies and similar technologies to enhance your browsing experience, understand how visitors use the site, and support website functionality. Cookies are small data files stored on your device that help the site remember your preferences and improve performance.
We may also use website analytics tools (such as those provided by Wix or integrated third-party services) to collect aggregated information about website traffic and usage patterns. This information helps us understand which pages are visited, how long visitors stay, and how the site is used overall. We use Wix Analytics to understand how visitors interact with our website and improve their experience. Depending on the information available through Wix, this may include website visits, traffic sources, approximate geographic locations, pages viewed, and engagement with website content.
We use Usercentrics for Wix to manage website cookie preferences and provide visitors with choices regarding non-essential cookies and tracking technologies.
At the time of this policy's publication, Google Analytics, Meta Pixel, Google Tag Manager, and TikTok Pixel are not connected through our Wix Marketing Integrations.
Our use of analytics and cookies may change as our business develops. We will update this Privacy Policy when material changes occur.
You can adjust your browser settings to refuse cookies or to alert you when cookies are being sent. Please note that some parts of the site may not function properly if you disable cookies.

7. Access to & Correction of Your Information

Subject to applicable laws, you may have the right to request access to the personal information we hold about you and to request corrections if you believe it is inaccurate or incomplete.
To make an access or correction request, please contact us using the contact details provided in the “Contact Us About Privacy” section below. We may ask you to verify your identity before responding to your request. If you would like to request access to your personal information, ask for a correction, or inquire about how your information is collected, used, or stored, please contact Becoming Extraordinary using the business email address provided in Section 9 of this Privacy Policy.
To protect your privacy, we may ask you to verify your identity before providing access to personal information or making requested changes.
We will review and respond to requests in accordance with applicable privacy legislation, including Alberta's Personal Information Protection Act (PIPA). Where PIPA applies, we generally respond to written access requests within 45 calendar days, subject to any extensions or exceptions permitted by law.
If we cannot fulfill a request, we will explain the reason and provide information about any available options for further review or complaint, as required by applicable law.
In some cases, we may not be able to provide access to all of the information we hold (for example, if it would reveal personal information about another individual or if we are legally restricted from doing so). If we are unable to provide access, we will explain the reasons, where permitted by law.

8. Coaching Session Recordings & AI-Assisted Features

We may offer the option to record coaching sessions conducted via Zoom. Recording is entirely optional and will only occur with your informed consent. You may decline recording at any time, and this will not affect your ability to receive coaching services.
If you consent to a session being recorded, you will receive a private link to download your recording. Our goal is to send this link within 24 hours of each recorded session. You will then have 30 full days after each recorded session to download the recording for your own personal use.
We will send reminder messages about your recording download link approximately 14, 25, and 29 days after the recorded session. If you experience technical difficulties accessing or downloading your recording, you may contact us before the 30-day deadline and we will do our best to assist you before the recording is deleted.
Recordings and any related materials are for your personal use only. They must not be published, redistributed, or shared publicly without appropriate authorization from Becoming Extraordinary.
Recordings stored in our Zoom cloud systems will normally be deleted after the 30-day download period, subject to any applicable legal retention requirements.
We may also offer optional AI-assisted features, such as AI-generated meeting summaries or automated transcriptions of recorded sessions. These features will only be used with your separate informed consent, and you may change your preferences for recording and AI processing for future sessions.
Recordings, transcripts, and AI-generated summaries will not be used for marketing, testimonials, or promotional materials without your separate explicit permission.
